Business Office Representative – Hickory

If you are looking for a career in healthcare, have great interpersonal skills, are detail oriented, and enjoy helping others, a career as a Business Office Representative may be for you!

The primary responsibilities for this position are to follow up on all insurance claims, posting of payments, taking adjustments, working denials and reports, handling billing and insurance calls as required, processing refunds and collection accounts, referring patients for assistance and setting up payment plans and other duties as assigned or needed, and collaborating with other departments on posting errors.

Education/Skills: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Individuals must have knowledge of medical insurance, excellent communication and organizational skills, proficient on most software applications and be able to perform each essential duty satisfactorily. Associate’s Degree in related field preferred; one year certificate from college or technical school; or three years or more related experience and/or training; or equivalent combination of education and experience.

This is a full time position with benefits, and a high school diploma/GED is required.

Ophthalmic Assistant – Hickory office

If you are looking for a career in healthcare, have great interpersonal skills, are detail oriented, and like to work as part of a team, a career as an Ophthalmic Assistant may be for you! Graystone Eye is willing to train the right candidate to perform patient work-up prior to the physician exam. Previous healthcare experience preferred. This is a full-time position with benefits.

Executive Assistant

The Executive Assistant must be creative and enjoy working within an entrepreneurial environment that is mission-driven, results-driven and community oriented. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, superior interpersonal, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion. The Executive Assistant provides high-level administrative support to company executives and physicians by preparing statistical reports, handling information requests and performing clerical functions such as preparing correspondence, coordinating travel, receiving visitors, arranging conference calls and scheduling meetings for executives. Maintains official corporation records and executes administrative policies determined by or in conjunction with other officials.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

  • Prepare and edit correspondence, communications, presentations and other documents
  • Design and maintain databases
  • File and retrieve documents and reference materials
  • Act as custodian of corporate documents and records
  • Conduct research, collect and analyze data to prepare reports and documents
  • Manage and maintain executive schedules, appointments and travel arrangements
  • Arrange and co-ordinate meetings/meals and events
  • Orders office supplies as needed
  • Record, transcribe and distribute minutes of meetings
  • Monitor, screen, respond to and distribute incoming communications
  • Answer and manage incoming calls
  • Receive and interact with incoming visitors
  • Interact with internal staff and physicians at all levels
  • Interact with external clients
  • Coordinate project-based work
  • Review operating practices and implement improvements where necessary
  • Facilitate building/grounds maintenance for Hickory and work with Site Managers for building/grounds maintenance needs in other locations
  • Create and maintain physician call schedule
  • Post weather-related closings/delays on digital media
  • Manage Employee Gift Fund as directed by Executive Team

Education and/or experience: Associates Degree (2 year) or higher in related field; or one to two years related experience and/or training; or equivalent combination of education and experience.

Patient Representative – Lenoir and Boone Offices

If you are looking for a career in healthcare, have great interpersonal skills, are detail oriented, and enjoy helping others, a career as a Patient Representative may be for you! Graystone Eye is seeking individuals with recent medical office experience; a customer service background is also beneficial. On the job training will be provided for this position, however experience with healthcare insurances is recommended. To perform this job successfully, an individual must have knowledge of medical insurance, able to read an insurance card, excellent communication and organizational skills, and be proficient in most software applications in a windows environment.

EXPERIENCE: One year certificate from college or technical school, or three to six months related experience and/or training; or equivalent combination of education and experience preferred. High School Diploma/GED required. Proficient mathematics skills are needed to be successful in this role, as well as the ability to read and comprehend simple instructions, short correspondences and memos, and the ability to communicate efficiently. This role does have direct patient contact and will require a person to effectively present information in one-on-one and small group situations, with customers, clients, and other employees of the organization.

DUTIES: The essential duties and responsibilities are as follows (but not limited to): Answers incoming calls, makes appointments, re-schedules appointments, transfers calls and directs them in the area needed, pages physicians as needed, screens calls, records messages for physicians and clinical teams, assists patients with any concerns, collects demographic and insurance information; enters referrals as needed, prints encounter forms, demand statements, and appointment lists as necessary, and any duties deemed necessary or may be assigned in the front office.
